Privacy Policy

1. Purpose

This Privacy Policy explains how Hong Kong Professional Airline Pilots Association Limited (“HKPAPA”) collects, uses, stores, discloses and processes personal data for aviation training, regulatory compliance, safety and operational purposes, in accordance with the Personal Data (Privacy) Ordinance (Cap. 486) (“PDPO”).

By enrolling in any programme, registering for any event, using HKPAPA facilities, using this website or entering any training premises, you acknowledge and agree to this Privacy Policy in full.

2. Personal Data We Collect

• Identification & contact: full name (English and Chinese), HKID and/or passport details and copies, date of birth, address, email, phone, emergency contact.
• Aviation security & restricted-area data: facial images, video and CCTV footage; data required for airside permits, visitor passes and access to controlled aviation facilities; travel document details for Hong Kong and Mainland China border control; data required by AVSECO, AAHK, CAD, CAAC or other aviation authorities.
• Training data: flight and simulator records, logbooks, performance evaluations, instructor reports and remarks, attendance, disciplinary and incident/safety reports, exam results.
• Medical & fitness information relevant to fitness to train, where provided by you or required by law or regulators.
• Payment records (we do not store full card details) and website usage data.

3. How We Use Personal Data

• Delivering and administering programmes, training records and licensing support (including CAAC applications).
• Safety management, incident investigation and insurance purposes.
• Complying with legal, regulatory and aviation-security requirements in Hong Kong and Mainland China.
• Communicating with you (and parents/guardians of minors) about schedules, weather changes and programme matters.
• Where you consent, sending news and offers about HKPAPA programmes; you may opt out at any time.
• Photographs and recordings taken during activities may be used for training records and, with consent obtained at enrolment, for HKPAPA promotional purposes.

4. Disclosure of Personal Data

Personal data may be disclosed, only as necessary for the purposes above, to: aviation regulators and authorities (including CAD, CAAC, AVSECO, AAHK), airfield and facility operators, partner training organisations (including in Zhuhai, Mainland China), insurers, professional advisers, and service providers processing data on our behalf. Where data is transferred outside Hong Kong (including to Mainland China for training and licensing), we take reasonable steps to ensure it is protected to standards comparable to the PDPO. We do not sell personal data.

5. Retention and Security

Personal data is retained only for as long as necessary for the purposes above, including regulatory record-keeping periods for training and safety records, after which it is securely destroyed or anonymised.

We use reasonable technical and organisational measures to protect personal data against unauthorised access, loss or misuse. Identity documents are handled through secure channels only.

6. Your Rights

Under the PDPO you may request access to, and correction of, your personal data. Requests should be sent to info@hkpapa.com. We may charge a reasonable fee for data access requests as permitted by law.

7. Cookies and Website Analytics

This website uses only essential technical storage (for example, to keep you signed in to the member dashboard) and standard hosting logs. Third-party content embedded in pages (such as videos) may set their own cookies, governed by those providers' policies.
